PCS first week in a hotel with a family of five: what to ask before you book

Two adults and three children, a move between duty stations and a hotel for the first stretch. This page covers the hotel side only: the room, the beds, the written confirmation and the paperwork a hotel can give you.

Short answer

A room that says it sleeps five is a published maximum, not a bed plan. Before you book a PCS hotel stay, get the exact room, the named bed for each person, any connecting or crib request and the itemized receipt in writing. Reimbursement rules are set by the government and change: check the current DTMO page and ask your finance or pay office. No reimbursement days or limits are given on this page.

If this is you

Orders are in, the household goods are on a truck and the family needs a roof for the first days at the new station. You will probably be in one hotel room or suite with three children, possibly with a pet, and you will be asked for receipts later.

This page does the hotel part: what to ask, what the room records on this site say and what we could not find. It does not tell you what you are owed.

This page is general information compiled from public pages. It is not legal, financial or travel-entitlement advice, and the site has no affiliation with any military service or agency. Rules change: check the current DTMO page and ask your own finance or pay office.

What to ask the hotel before you book

  1. The exact room name and its published maximum, not the hotel's headline “sleeps” line (see how to verify a room sleeps five).
  2. Where each of the five sleeps. Ask for the bed named in writing (see where the fifth person sleeps).
  3. Children's ages and infants. Whether a baby counts toward the maximum is not stated the same way everywhere (see do infants count toward occupancy).
  4. Connecting rooms, if you want two rooms. Ask whether they are guaranteed or only requested (see connecting rooms: guaranteed or requested). The JW Marriott 2 Bedroom Suite card in the table says “Connecting rooms are not available”.
  5. The kitchen. “Kitchen” on a room card does not always list a stove (see full kitchen or microwave and fridge).
  6. Cancellation and change terms for the exact rate, because PCS dates can move; the rule belongs to the rate (see the booking confirmation checklist).
  7. The itemized receipt. Ask now that the final bill will list each night's room charge, taxes and each fee on its own line (see how to read a TLE hotel bill).

Rooms on this site with five or more sleeping places

These are rooms from pages on this site, shown to read the records, not as a recommendation. We have not checked any of them for distance to a military installation, and we have not checked whether any of them offers a military or government rate. “Not on the page” means the page we read does not say; it does not mean the room lacks it.

For one suite versus two rooms, see one suite or two rooms for a family of five. For rooms by published maximum, see hotel rooms by maximum occupancy.

Pets and children: only what the sources say

The only pet policy we read for a military setting is one page: the IHG Army Hotels page for the Candlewood Suites at Fort Carson, read October 17, 2026. It shows a pet-friendly badge, a per-pet fee, an extra nightly fee that starts on a stated night, a limit on the number of pets per room and a weight limit. We do not repeat the amounts here because hotels change them. The page covers that one hotel only. A fuller pet comparison is on pet-friendly hotel suites for a PCS family of five.

Pet rules for the other hotels in the table above: not found in sources read. Whether any pet fee is reimbursable: not found in sources read; the DTMO page we read does not mention pets.

For children, the room pages above give a published maximum, bed lists and rollaway and crib lines. They do not give an age rule for children in a PCS stay. We did not find this in the pages we read.

On-post lodging: one example, with a date caveat

The Fort Carson installation-hotel page (page marked modified March 18, 2022) describes an IHG hotel on the installation and an Air Force Inns option, each with a stated reservation limit in days. The page is old, covers one installation and may be out of date, so we give no figures. Whether other installations work the same way: not found in sources read. Ask the installation's lodging office, which the page itself points to, and check what it says now.

What we could not find

  • Whether a given hotel above offers a military or government rate: not found in sources read.
  • Whether a hotel's cancellation terms allow free changes when orders change: not found in sources read for these rooms; check the rate on your confirmation.
  • The Joint Travel Regulations text itself and the installation-level rules: not read.
  • Which hotels are near which installation: not checked.

Subject: Reservation for [dates], family of five, [exact room name]

Hi,

We are relocating and would like to book the [exact room name] at [hotel] from [arrival] to [departure], for 2 adults and 3 children (ages [__], [__], [__]). Could you confirm in writing:

1. The exact room name and the bed each of the five people would use.
2. Whether a rollaway or crib is permitted in this room, and whether either counts toward the maximum.
3. Whether connecting rooms are guaranteed or only requested, if we book two rooms.
4. The cancellation and change terms for this rate if our dates move.
5. That the final bill will be itemized: each night's room charge, taxes and each fee on its own line, with the guest names and dates.
6. The pet policy, if we bring a pet: [dog / cat / none].

Could you reply by email so I have it in writing?

Thanks,
[your name]

Availability and rates are not shown or tracked here. These lines can change when a hotel updates its page.

Quick answers

Does this page say how many days or how much a PCS move reimburses?

No. The official page we read gives more than one day figure for the same allowance, so we give none. Rules change: check the current DTMO page and ask your finance or pay office.

If a room says it sleeps five, does it fit a family of five?

Only if every person has a named place. The Residence Inn One Bedroom 2 Queen Suite lists a maximum of 5 with two queens and a sofa bed, and its room card says rollaway beds are not permitted (Marriott room cards, read October 16, 2026).

Which pet policy did we read for a military hotel?

One: the IHG Army Hotels page for the Candlewood Suites at Fort Carson, read October 17, 2026. It lists a per-pet fee, an extra nightly fee, a limit on pets per room and a weight limit. For other hotels: not found in sources read.

What should I ask the hotel in writing?

The exact room, the bed for each person, any rollaway, crib or connecting request, the change terms for the rate and an itemized final bill.
