PCS hotel date changes and cancellations for a family of five: what the pages show and what to ask

Orders move, a report date shifts, and a hotel is already booked for two adults and three children. This page shows what hotel pages say about changing or cancelling, what the official pages we read do not say, and what to ask in writing.

Short answer

The official TLE pages we read do not say what to do with a hotel booking when orders or dates change: not found in sources read. The hotel side is rate by rate: the IHG pages say cancellation policy varies by rate, and for a sample stay we read non-refundable rates next to rates that were refundable until a date shown at booking. Before you book, read the line under the exact rate you choose, keep the confirmation, and ask your finance or travel office before you cancel or rebook.

If this is you

You have a hotel booked for the move and the dates may change: orders are amended, the report date is moved up or pushed back, or the household goods or a house closing slips. You want to know whether the booking can move, what it might cost, and who has to approve it.

This page covers the hotel side and the questions to ask. It cannot tell you what your orders allow or what you are owed. It gives no prices, deadlines or reimbursement figures.

This page is general information compiled from public pages. It is not legal, financial or travel-entitlement advice, and the site has no affiliation with any military service or agency. Rules change: check the current DTMO page and ask your own finance or pay office.

What the official pages say, and what they do not

Sources: the DTMO Temporary Lodging Expenses FAQ (dated December 2, 2024) and the Military OneSource Temporary Lodging Expense page, read October 17 and 18, 2026. Rules change: check the current DTMO page.

  • What to do when orders or report dates change: not found in sources read. Neither page says.
  • Whether a hotel's cancellation or change fee can be reimbursed: not found in sources read.
  • Itemized receipts. The DTMO page says: “Yes, a Service member or dependent must provide itemized lodging receipts to receive Temporary Lodging Expense.”
  • Days actually in lodging. In its answer for two Service members who are married, the page says: “Each Service member must certify that temporary lodging was occupied for the number of days that TLE is claimed.” The page does not say how a changed booking is treated.
  • Extended TLE. The page says a Service member “must register for extended TLE with an official at their installation and provide a statement indicating his or her expected first and last day of extended TLE” and “must keep all lodging receipts as documentation.” When it applies is not stated here: check the current DTMO page.
  • Who to ask. Military OneSource says more information is available through your local pay office.

We did not read the Joint Travel Regulations text or any service-branch page, so we state nothing from them.

What the hotel pages show

What the hotel brands' own pages say, in four points:

  • IHG hotel pages (the FAQ on each hotel page we read, October 18, 2026): “Room cancellation is subject to rate booked at time of reservation and cancellation policy varies by rate.”
  • The IHG Customer Care FAQ says: “You can change or cancel your reservation for any IHG property by visiting our Manage Your Reservations page.” Reservations made on another site are covered in the next section.
  • The IHG Army Hotels blog post on PCS is a blog post, not a policy page. It says booking directly on the IHG Army Hotels site gives “the ability to change your reservation dates if your report date is moved up or pushed back.” That applies to rooms booked on the IHG Army Hotels site; none of the hotels in the table below is shown to be on that program in our sources, and the post gives no cancellation window or fee terms.
  • Marriott. The Marriott reservation lookup page says: “Complete this form to review, modify or cancel a reservation. All fields are required.” It asks for the confirmation number, the check-in date and your name. Cancellation windows by hotel: see the table.

Which rate types each hotel showed for a sample stay

We opened the booking pages of the hotels on this site on October 18, 2026 for a sample stay of November 13 to 15, 2026, for 2 adults and 3 children, and wrote down the cancellation line shown under each rate. Takeaway: on the same hotel page one rate can be non-refundable while another is refundable until a date, so the rate you click decides what a date change can cost. Of the 26 hotels, 18 showed at least one rate line. The lines are specific to those dates and that moment: your dates will show different rates. A table cell naming a type is not a promise that the same rate will be offered to you.

Reading the table: “Non-refundable” and “Non-refundable deposit” rates appeared at 10 hotels, and 5 of those were one-night non-refundable deposit rates (the Holiday Inn Club Vacations resorts). “Refundable until a date shown” means the page printed a date, which we do not reproduce here because it depends on your arrival date. “Not on the page” and “Not read” mean we did not see a cancellation line; they do not mean the hotel has no policy.

How to read your confirmation

  1. Find the rate name and the cancellation line on the confirmation or in the booking steps. They are the terms you accepted. Save a screenshot or PDF at the time you book.
  2. Check where you booked. The IHG Customer Care FAQ says: “Third-party websites often provide you with confirmation numbers associated with their websites rather than confirmation numbers associated with the IHG reservation system.” A number from a travel site is therefore not an IHG number, and the Manage Your Reservations page may not find it. If you booked through a third party, changes go through that site or the hotel; the IHG page above does not say more.
  3. Check the dates and the room name against the booking you meant to make. The IHG page says that if an error occurred during the booking, the reservation “may be able to be modified online”; otherwise it points to an online Issues form.
  4. Look for the amount at stake. A prepaid or deposit rate means money is already with the hotel: the cancellation line says what comes back.

See also the booking confirmation checklist.

What to ask the hotel when orders or report dates change

  1. Is the rate I booked changeable or cancellable, and until when? Ask for the answer in writing, with the rate name.
  2. If the dates change, does the rate stay the same? A date change can mean a different rate; ask for the new rate before you agree.
  3. What happens if I cancel after the cutoff? Ask what is charged and whether a credit for a later stay is possible.
  4. Can I shorten or extend the stay on the same reservation, and will the room type for five still be available on the new dates?
  5. Will the corrected stay appear on an itemized folio with the actual nights, so your own office can check it (see how to read a TLE hotel bill)?
  6. Is there a military or government rate and do its change terms differ from the standard rate? Ask; no page we read states it.

If you need a room that fits five on the new dates, see PCS first week in a hotel with a family of five. If a pet is coming, see pet-friendly hotel suites for a PCS family of five.

Subject: Hotel booking and possible change of dates

Hello,

My family (2 adults, 3 children) is booked at [hotel] from [arrival] to [departure] under confirmation [number] for a move. My orders or report date may change.

Before I cancel or rebook, could you tell me:

1. Who needs to approve a change to the hotel booking, and in what form.
2. Whether a cancellation or change fee from the hotel is something your office can address, and what you would need to see.
3. What documents to keep: the original confirmation, the cancellation or change confirmation and the itemized folio.
4. Whether extended temporary lodging applies to my case and how to register for it.

Thank you,
[your name]

Quick answers

Do the official pages say what to do if my orders change?

We did not find this in the pages we read. The DTMO Temporary Lodging Expenses FAQ (dated December 2, 2024) and the Military OneSource page do not say. Ask your finance or travel office.

Can I always cancel an IHG hotel booking?

Not on the pages we read. IHG hotel pages say cancellation policy varies by rate, and for the sample stay some rates were non-refundable while others were refundable until a date shown at booking.

My confirmation number came from a travel site. Can I use IHG's page?

Possibly not. IHG's Customer Care FAQ says third-party sites often give their own confirmation numbers rather than IHG reservation numbers. Start with the site or the hotel that took the booking.

What should I keep if I change or cancel?

The original confirmation with the rate name, the cancellation or change confirmation, the hotel's written replies and the itemized folio. The DTMO page we read says itemized lodging receipts are required.

Does this page list cancellation deadlines or fees?

No. Deadlines depend on your dates and rate, and fees are on the hotel's page. The table shows only which rate types appeared for a sample stay.
